Products

The product administration area contains all the items which are to be used in the configured shop catalogs for your event. Commonly they will have a cost associated with them, however it’s also possible to add products at zero charge to the registrant. Once you’ve set up the required products, implement them on form through one or more catalog pages. See the Catalogs section for more information.

General Information

Select the product type to suit your needs.

For each product definition, the exact properties which are available (some of which are mandatory) are dependant on the product type. See below for more detail. However, the following properties and settings are common to all types:

Name, Title and Description

  • Enter the name for the shop product. This is how the product is termed in the Visit Create user interface, including any related orders and associated exports. This is not public facing to registrants, which may be using any number of configured languages.
  • Enter the title for the shop product, in each of the available translation languages. The title is often related to or the same as the name, however this isn’t manadated.
  • The shop product description allows the registrant to reveal more about the product offering when using the shop. Unlike the title, you may make use of any of the available formatting controls to generate the required HTML code. It’s also possible to edit in HTML directly using the </> icon

Pricing schemes

By default, a newly added product is at zero cost. Use the Pricing Schemes panel to specify the item cost, the tax rate which applies, and optionally the cost change over time.

  • Select the Tax class applicable to the product. Tax classes are defined under shop->settings
  • Enter the product price, paying attention to the on-screen messaging about the required costs being inclusive or exclusive of tax. This is likewise defined in shop->settings
  • The item will be available while the shop forms are live, which by default is any dates up to and including the onsite event dates. It’s possible to override this by changing the form availability overall, or by limiting the visibility of the shop product using the availability settings (see next section).
  • Select Add new scheme to add one or more additional pricing schemes and date ranges. Note that dates and times are in the timezone defined for the event, so may be different than the registrant’s local time.
  • Optionally you can name each line in the pricing scheme. This name is viewable alongside the price in the Visit shop.

Availability

By default, a newly added product is available any time the shop catalogs are available on registration forms. Additionally, it’s assumed there are an infinite number of the item available. Use the availability panel to limit the quantity available, and the visibility in the shop based on the current date.

  • Optionally enter a total number of available products. You can choose whether this availability is shown or hidden to the registrant. For example, you might want to sell access tickets to an awards event, with limited seating available. You may or may not the amount of remaining seats to be in the public domain.
  • Optionally set an available from date and time. This is in the events local timezone.
  • Optionally set an available to date and time. This is in the event’s local timezone and must be after the optional available from date/time.
  • Optionally you can limit the number of item which can be purchased per registrant. In the case of a group booking through a single registration, this applies to every individual. For example a group booking with a booker and two guests, and a limit of 1 item per registrant, can select three of the item. The assignment rule is validated at the point of basket checkout.

Restrictions

Use restrictions to control availability of other products based on selection of this product. For example, you might offer an optional VIP experience as an add-on to an event pass. You can use restrictions as shown here so the VIP Experience can only be added to the basket if the Event Pass is already selected.

Now we’ve reviewed how to configure pricing, availability and restrictions, we can explore the specifics of the different product types, and their use cases.

Standard

This is the simplest type of product, and doesn’t deliver any specific functionality at events. As such you will more commonly want to use one of the other product types such as Access, Activity or Exchangeable. Possible applications for a standard product would be a charity donation or a carbon offset scheme.

Access

Access items allow admittance to defined locations at your event, and are used in conjunction with Visit’s Onsite systems in Access Control mode (QR code scanning). When scanned, Visit systems will allow or deny the purchaser based on the current date and time, location and usage properties of the access product. Typically scanning an access product will also mark the attendee as having attended the event. Use the Validity panel to configure the properties of the access product:

  • Access Items must be assigned one or more area locations, as defined in the event configuration (see event->setup). You can only select from defined locations where the type is area. Note that scanning takes place at locations (gates) associated with that area, so may be used to differentiate between different entrances for example.
  • Items can optionally be assigned one or more valid date and time ranges. This is in the local time zone of the event.
  • Item usage can be configured to be used an unlimited number of times, limited overall or limited per day

For access to schedule items (such as presentations or workshops) with a physical location, use the Activity product type instead.

Exchangeable

Exchangeable items are redeemed for physical products or services at an event. Examples include car parking or a food or drink voucher. Visit’s onsite software offers an exchange mode which supports scanning of badges or tickets to obtain the associated product or service. Use the validity panel to configure the behaviour:

  • Select one or more locations which the exchange product can be redeemed at (by being scanned). Note you can only select locations where the type is exchange. Exchange locations are defined in event->setup
  • Optionally use add dates to set one or more valid date/time ranges. These are in the local time zone of the event.
  • By default an exchangeable item can be redeemed once only, however you may modify the usage limit to change this. Choose whether your limit applies daily, for the whole event, or set an unlimited usage.

Activity items are used to configure the costs associated with paid for items set up in the event’s agenda. The validity regarding times and locations is handled automatically by the platform, since items in the event agenda have, by nature, a time and location associated with them already. Visit’s onsite software offers an Activity Control mode specifically for scanning badges or tickets at locations with associated activities from the agenda, such as presentation theatres.

Staff Badge

Staff badges are sold through the Visit Connect environment, so this product type is reserved for exhibiting companies. For some events, the organiser might require all exhibiting team members to purchase their attendance. Alternatively they may offer a number of complimentary team members, but allow the exhibitor to purchase extra. For events with unlimited team members, it’s not required to configure a staff badge product.

  • Select the visitor registration type associated with the product. Note that in Visit, exhibiting team members get added to the visitors data, so are subject to any of the available visitor registration types available to the event. These may be scoped to the event only (event level) or all events (organization level).

Activity

This product type must have an associated activity from the event agenda (this will need to be configured first). Although by default the shop product will take the name of the activity, it’s possible to adjust this if you want the title to read differently when used in a shop catalog page.

Transaction Cost

Use the transaction cost to add a nominal amount to the overall basket cost, where the value of the added products is greater than zero (remembering that products can be configured at zero cost). Within the shop->settings setup area, the transaction cost can is configured to be either of:

  • Applies once to the basket, irrespective of the value. Note that if the registrant makes additional purchases in the future (for example upgrades to their original purchases), the fee applies for each transaction. The transaction cost is added to the basket automatically, and can’t be removed.
  • Applies once per ticket. A ticket is defined as any shop product which has a ticket document attached to it. Multiples of the transaction fee are added to the basket, and can’t be removed.

Note that although multiple transaction costs can be defined in the product list, only one can be use at any time. The configured transaction cost is applied to all active catalogs configured for the event.

Bundle

Bundles are used to allow purchasing of a package of products, at a custom cost. Typically the cost will be lower than the cost of the sum of the contained items. For example you might offer a day 1 ticket and a day 2 ticket as separate access products. You could configure a bundle product to offer both tickets in a single transaction, but at a lower price. Note that by purchasing a bundle, the registrant is ordering the items contained within it.

  • Select products from the product list to include in the bundle. You can add any multiple of any of the products defined in the product list
  • The system will display the total cost of the contained items, and the applicable taxes
  • Add one or more pricing schemes to suit your requirements. This is the actual cost that will be presented to the registrant when the bundle is selected from a shop catalog page.
  • By purchasing the bundle, the buyer is purchasing the enclosed items. The referenced products are available in the associated order data, and can be used in access control scnenarios, for example.

Ticket Documents

After having ordered products successfully, the details of the items are available on the registrant’s record; that is to say that by scanning the visitor’s QR code using Visit onsite software, the purchased products can be checked for.

Optionally, you may wish to issue ticket documents associated with the purchased items. Each purchased item generates a ticket, which is appended as a separate page to the confirmation document configured for registration form. Each ticket has a unique QR code which relates to the individual product purchase.

  • Before assigning a ticket document, use the document designer (Design->Documents) to generate a document to be used as the ticket.
  • Select the voucher product template to generate a ready-to-use document, containing a selection of relevant dynamic fields, and a product/ticket QR placeholder. You can modify this template to suit your requirements.
  • Alternatively use the A4 or letter document templates, assuming the intention is for the recipient to print their tickets. They may also be shown on-screen.
  • Within any ticket document, be sure to use the placeholder for the Ticket QR code. You can add any other content to the document including text, images and dynamic fields. You may also use rules to dynamically change the contents of the document based on properties of the registration.
  • When selecting the Generate document option (if available for the product type), you’ll need to select an associated document from those available.
  • ensure the document has the Ticket QR placeholder included in its design. Don’t confuse this with the other QR types.
