Visit Connect has two main modes that allow exhibitors to scan connections onsite: Staff Mode and Scan Only Mode.

Staff Mode

When a team member is added to Visit Connect, they can be sent a personal link to Visit Connect. They can be assigned different permissions, as determined by the team administrator, for example allowing them the rights to see connections scanned by others, to export connections, to perform administrative tasks, and more.

Where the Visit Engagement tools are being used, staff users will also have access to messaging and meetings functionality to communicate with guests.

When a user logs in using a personal access link, they will first need to confirm their identity by entering a number that will be sent to their email. If they decide to use a different browser, or a different device, they can login again. They will have the same data, settings and permissions in each device/browser. Only one licence is used for this user, regardless of the devices and browsers used.

Scan Only Mode

Scan only mode of Visit is a reduced-feature mode of Visit Connect to allow quick access to simple scanning facilities. There are no additional permissions allowed; you cannot see connections scanned with other devices, or export connections, or use any of the engagement tools.

When scan only mode is first used, the user is asked for some identifying information. This is not linked to any staff member – it is just used to identify which device was used for capturing particular connections.

You cannot transfer connections or settings from one device to another, or even to another browser on the same device. While all connections will be collected centrally, each device/browser is a separate instance – and requires a separate licence. The Native App counts as a separate ‘browser’.

When do I use which mode?

In most circumstances, we recommend that users are granted access to the Staff mode with a personal link. They have access to all the right features, and can transfer information between devices.

The main uses for Scan only mode are:

– scanning connections on a shared device like a tablet, which doesn’t “belong” to any one team member
– giving scan capability to agency staff working on the stand who is not registered in your team/don’t have access to email
– giving scan access to someone quickly who is not set up properly in the team list.

What limitations are there?

With Scan Only mode, each browser/device uses up a licence. If the web app is launched, and then later the native app in installed on the same device, that will count as two separate licences. If there are unlimited licences available this isn’t an issue.

We therefore recommend that in any situation where licences are limited, we restrict Scan Only mode to work with the native app only. This ensures that only one licence can be taken up on any one device.

How do I access Staff Mode?

From the Team menu in Visit Connect (for administrators), for each member there is a button to share access to Visit Connect. This gives a choice of sending the team member an email with the link, displaying a QR code (useful if the colleague is present and can scan direct from their device), or copying the URL to share with the colleague in some other way (e.g. a text message):

How do I access Scan Only Mode?

A generic licence PDF document for an exhibitor includes a QR code that grants access to the Scan Only mode for that exhibitor. Organisers can access it in Visit Create, in the Service Centre > Partners > Select partner > Select registered event > Licences. Click the three dots menu and choose Export scan licence. You also have the option to send the licence PDF to a specific email address.

You can also access the licence QR code from the Teams menu in Visit Connect. Under the Actions button, exhibitor administrators have the option to display the QR on their screen (Show licence QR code), and to print a PDF document – under Print licences.
