An exhibitor manual is a centralised, digital hub that brings together all the essential information your exhibitors need to participate successfully in your event.
A manual can contain:
- Manual pages – to share read-only information such as schedules, regulations, maps, or contacts
- Tasks – these are interactive actions exhibitors must complete as part of their preparation
This structure helps you provide exhibitors with a clear, step-by-step onboarding experience while ensuring your team shares consistent and accurate information.
Once published, manuals are accessible to exhibitors via their exhibitor app (Visit Connect).
Why use an exhibitor manual
An exhibitor manual allows you to share useful event information, such as:
- Build-up and breakdown schedules
- Health and safety regulations
- Access and logistics instructions
- Ticketing and badge processes
- Marketing and promotional opportunities
- Hospitality and catering options
- Venue maps and floorplans
- Important deadlines
- Preferred suppliers
- Key contact information
How exhibitor manuals work
In Visit Create, manuals can be made up of manual pages and tasks.
- Manual settings are defined per partner registration type, so you can show different content to different exhibitor groups.
- You can also enable translations to display manual pages and tasks in multiple languages (English, Dutch, French, German, Spanish, and Turkish).
- All manual settings configured in Create are automatically reflected in the exhibitor app (Visit Connect).

Creating manual pages
To add a new manual page go to Event > Visit Connect > Manuals > Add
Each manual page includes the following elements:
Element | Description |
---|---|
Name | The page name as it appears in Visit Create |
Title | The page name as it appears in Visit Connect |
Content | The body of the page — format text (fonts, colours, tables, URLs), insert images, add HTML code, dynamic merge fields, and conditional text (shown only to certain exhibitor groups based on partner rules) |
Upload your documents | Attach supporting files (JPEG, PNG, GIF, or PDF formats) |

Once you’ve added all the manual pages, go to Event > Visit Connect > Settings to enable the manual, add pages and define the order in which the pages are displayed for each exhibitor type.
Note: Each exhibitor registration type has its own tab. You need to enable and configure the manual settings separately for each type you want to give access to the manual. Only registration types with a manual enabled will be able to view it.
Tasks
Tasks are specific actions or requirements that you can assign to exhibitors to help ensure they are fully prepared and compliant before the event.
Tasks appear in the exhibitor app (Visit Connect), allowing them to view, complete, and mark off items independently.
To define tasks go to Event > Visit Connect > Tasks > Add
You can make tasks optional or mandatory, and you can also require review — meaning a member of your team must review and approve a submission before it is considered complete.

Task elements
When creating tasks in Visit Create, you can define:
Element | Description |
---|---|
Name | How the task is displayed in Visit Create |
Review required | Require organiser review before completion |
Due date | The deadline by which the task must be submitted |
File mandate | Choose if uploading a file is optional or mandatory |
Upload files | Attach new files (images or PDFs) or select from previously uploaded documents |
Translations | Provide content in multiple languages if translations are enabled |
Title | How the task is displayed in Visit Connect |
Description | Enter task instructions (can include formatted text, images, tables, URLs, HTML, dynamic merge fields, conditional text) |
Questions | Add questions from your pre-defined list that exhibitors must answer |
Similar to manual pages, you must go to Event > Visit Connect > Settings to enable and add tasks, and define the order in which they are displayed for each exhibitor type.
Note: Each exhibitor registration type has its own tab. You need to enable and configure the tasks settings separately for each type you want to give access to them. Only registration types with Tasks enabled will be able to view them.
