This guide provides an overview of the different ways to access Visit Connect and the purpose of each method.
The number of Visit Connect users per each partner can be limited to a specific number, or it can be unlimited. This depends on the number of scan licences allocated to each partner.
Visit Connect can be used as a native app (needs to be downloaded from the app stores) or as a web app (access through a link/QR code scan – no download required). Any user with the permission to scan connections will need a scan licence, whether it’s for the native or the web version of the app. See Visit Connect Features or Service Centre for more info on how to add scan licences.
Native App vs Web App
1.Visit Connect web app can be accessed through a link or by scanning a QR code, and used in your browser, without the need to download anything.
The links to the app can be found in the following places:
Platform | Location | Purpose |
Visit Create | Service Centre > Partners > Select partner > Select event > Event details | Organiser usage. Visit Connect setup login is the link for partner admins. They can register staff, set up permissions and send invite links to use the app (when the number of licences is limited). Visit Connect scan login is the link for Scan only mode. This can be shared with unregistered team members and will use up a scan licence. |
Visit Connect | Team > Actions > Show licence QR Code | For partner admins to share with their colleagues. This provides access to Scan only mode. |
Visit Connect | Team > Select team member > Access Visit Connect for X | For partner admins to share with their colleagues. This provides personalised access to a specific member’s Staff mode. Can be sent as an URL in an email, display the QR code that the corresponding team member can scan, or copied and pasted where needed. |
Visit Connect Web App | Menu: Switch to Native App | This is a link to the Native App for the current user of the web app. It contains the licence key embedded in it and is intended for use as a support tool in case the user is encountering issues or challenges with the web app on their device. |
Visit Check-in | Sercvice Centre mode > Partners > Partner name > Licences | Allows organisers to print and delete licences onsite. |
Visit Check-in | Visit Connect mode > Select partner > double click | Offers an overview of the type of app activated and allows for onsite printing and deleting of licences. This is for organiser usage only. |
2.Visit Connect native app can be downloaded from the App Store (for iOS users):
https://apps.apple.com/app/visit-connect/id6448727528
Or from the Google Play Store (for Android users):
https://play.google.com/store/apps/details?id=com.visitcloud.connect
Users can choose to log in to the app by scanning the QR code previously mentioned, or by entering their email address (registered staff only). They will receive a 6-digit code through email that will grant access to their Visit Connect account. Once the app is activated, it can be used to scan QR codes on visitors’ badges to collect connections.
The access QR code can be found in the following places:
Platform | Location | Purpose |
Visit Create | Service Centre > Partners > Select partner > Select event > Licences | Organiser usage. Scanning this will open the Scan Only mode, and it will use one scan licence (when the number of licences is limited). |
Visit Connect | Team > Actions > Show licence QR Code | For partner admins to share with their colleagues. This provides access to Scan only mode. |
Visit Connect | Team > Select team member > Access Visit Connect for X > Display QR code | For partner admins to share with their colleagues. This provides personalised access to a specific member’s Staff mode. |
Visit Connect Web App | Menu: Switch to Native App | This is a link to the Native App for the current user of the web app. It contains the licence key embedded in it and is intended for use as a support tool in case the user is encountering issues or challenges with the web app on their device. |
Visit Check-in | Service Centre mode > Partners > Partner name > Licences | Allows organisers to print and delete licences onsite. |
Visit Check-in | Visit Connect mode > Select partner > double click | Offers an overview of the type of app activated and allows for onsite printing and deleting of licences. This is for organiser usage only. |
Staff Mode
Team members at the event should each have a personal link to Visit Connect. This is the recommended access for general use. Staff can collect and view individual information, and be assigned permissions to access specific features by an administrator.
Personal links can be found in the following places:
Platform | Location | Purpose |
Visit Connect (admin only) | Team > Select team member > Access Visit Connect for X > Copy link to clipboard | For partner admin to view/copy the URL to pass on to the team member. |
Visit Connect (admin only) | Team > Select team member > Access Visit Connect for X > Send invitation by email | Send the system email containing the URL link to the team member’s email address. For partner admin usage. |
Visit Connect (admin only) | Team > Person’s Name > Show Visit Connect login QR | Display a URL embedded in the QR code. The team member can then scan this with their mobile device camera to gain access. For partner admin usage. |
Visit Connect | App Menu > Use on another device | This displays a QR code containing a URL. It allows an individual to connect on another device, for example, an iPad where they don’t have access to their email. This is a Scan only link and will use up a scan licence. Any Visit Connect user has this option. |
Setup mode vs Staff mode
The user of the setup link is usually the admin for the partner Visit Connect app and is encouraged to register themselves as an individual first. However, this may not always be appropriate. For example, if the setup user is not coming to the event, and the partner has limited scan licences available – registering such a team member would use an unnecessary licence.
Scan Only Mode
Scan-only mode is intended for cases where it is not appropriate to create a personalised staff account. Examples are when temporary staff are hired to scan connections and don’t have access to an email address to authenticate, or when a shared device is used on the booth by multiple people.
In this mode, Visit Connect can only scan connections, and see the connections collected on that device.
The QR code for scan-only access is available to partner admins in Visit Connect – Team > Actions > Show licence QR Code.
As an organiser, you can also view and print scan licenses onsite using Visit Check-in in Service Centre or Visit Connect mode.
In Visit Create, the Scan Only link can be accessed through Service Centre > Partner > Select Event > Visit Connect scan login:
You can also use the following dynamic fields to include the links in a custom email:
- #link_visitconnect_partner# – for admin access
- #link_visitconnect_license# – for scan only mode
- #link_visitconnect_staff# – for staff mode.
