Check-in
Check-in performs many of the functions at the event entrance, such as registering visitors, counting attendance and printing badges.
It runs on a PC, either using a USB memory stick, or installed on the hard drive.
Typically you will have multiple Check-in machines at an event entrance. Once set up, each Check-in can easily be set to run any of the functions required:
- Self service registration & badge printing;
- Operator-assistance (search the database for existing registrations to deal with issues);
- Badge collection;
- Access Control.
First, you need Check-in connected to the internet with your event active.
Step 1 – Configure Check-in Settings in Visit Create
You need to tell Check-in which functions are available for your event. In Visit Create, go to Onsite > Settings and tick the functions that are available.
From this screen you can also configure other Check-in settings, including:
- Choose whether to allow entrance to people who have been invited but haven’t actually registered
- Event Logo
- Color Scheme
Step 2 – Get Connected
a. Power up your Check-in computer.
- If it’s installed on the hard disk, just start the machine and wait for it to boot.
- If you are using a USB stick, you may need to tell the computer to boot from this rather than the disk. When you first power on the computer you will need to press a Function key to access the boot menu: look for a prompt such as Press F12 to access boot menu.
b. When Check-in has loaded, connect to the internet.
- Either plug in an Ethernet cable, or connect to a local Wi-Fi network if available.
- Click at the top for the network settings.
- Here you can choose a wired or wireless connection, then provide the settings such as SSID (Wi-Fi Network Name).
- You can check your connection by clicking the Internet Access button.
c. If the Check-in is not configured for an event, you will need to enter a Check-in license code, then wait a few moments for it to fetch the event data and settings.
Step 3 – Update Check-in
When an update is available, this symbol will appear on the top menu bar:
Click it to install the Check-in update. Your Check-in will automatically restart after the update has been loaded.
You can check your current Check-in version by clicking the colored status circle in the top right corner.
Step 4 – Load your Event
If your Check-in is configured with an old event, you should:
- Remove the current event: Click the settings icon, choose Advanced Settings and Enable Drop Database. Now click the Drop Database button.
- Reboot, and provide the new Check-in license code when prompted. See above.
Step 5 – Other Settings
Keyboard
You may need to set Check-in which layout of keyboard you are using. Click the icon in the menu bar, then choose your Layout. You do not need to change any other information.
Step 6 – Shutting Down
At the end of the event (and the end of each day, if power will switch off), you should shut down the Check-in. Use the menu in the top left corner, and choose Shut Down. Make sure you have an internet connection so that data is synchronised to the Visit Create server.
If you do not wish to switch off Check-in between open days of the event, there is a Lock Screen option in themenu.
