Exhibitor Manual – A Smarter Way to Support Exhibitors

We’ve launched the BETA version of the Exhibitor Manual, a new feature within the Visit ecosystem that enables organisers to deliver a clear, centralised resource for exhibitors. It is designed to improve how key information is shared and how exhibitor deliverables are managed throughout the event preparation process.

The Exhibitor Manual consists of two main components: Manual and Tasks. These tools allow organisers to provide structured guidance, attach relevant files, define responsibilities, and track completion within Visit Connect and Visit Create.

This initial release focuses on core functionality to help organisers build a more consistent and efficient experience for their exhibitor base.

What’s Included in Phase 1?

πŸ—‚οΈ Images becomes Files

  • To accommodate the fact that you can now upload both images and PDFs (not just image files), the Images section has been renamed to Files
  • You can archive files (permanent deletion is disabled to avoid unintended disruptions due to files being in use)
  • Existing files can also be replaced to prevent clutter and confusion
    (Note: Replacements will impact associated forms and items)

  • Define manual pages via Event β†’ Visit Connect β†’ Manual
  • You can include multiple translations
  • Add file attachments and images in the content
  • Display conditional text based on Partner Rules

  • Create tasks at Event β†’ Visit Connect β†’ Tasks
  • Assign due dates, require file uploads, and attach documents
  • Add questions from the library
  • Include conditional logic and make tasks mandatory
  • Option for organisers to review submissions before marking as complete

  • Visual task status overview
  • Organisers can approve or reject tasks directly in Create

  • New Partner attribute to define booth types

  • Updated layout with configurable columns

  • Advanced filtering now includes Booth Type

  • Managed via the existing Rules user interface

    • Manual Pages: Managed by existing Events permission
    • Tasks: New Tasks permission (only assigned to Full Access users)

    • New Tasks permission for Connect users

Forms

Group Registration De-duplication Improvement

We’ve improved the behaviour in Visit Forms when dedupe is used for Group registrations, ensuring all registered email addresses for the event are unique.

Main registrant: When entering an email address that has been previously used, a pop-up warning appears with the option to ‘Continue’, allowing the user to proceed if necessary.

Group members: If a duplicate email is entered, the system immediately displays an error message: ‘This email is already in use’. The user is not given the option to continue, and must provide a unique email address to proceed.

Partner Connections in Discover

We’ve added a ‘Connect’ button on exhibitor profiles which allows visitors to connect with exhibitors just with a click.

This functions in the same way as scanning a visitor’s QR code.

Digital Content – Product Promotion

We’ve added the option to promote specific products – similarly to how exhibitors are promoted in the Exhibitor directory. Promoted exhibitors and products are displayed in a highlighted style at the beginning of the respective lists.

This means that the ‘Promote in exhibitor directory‘ has been removed from the Sponsorship tab in the Service Centre, and a ‘Promoted‘ option has been added for both product and exhibitor profile content in Design > Digital Content.
