Data concerning all events configured in Visit falls into one of three areas:

1. Event Properties

Setup and configuration information about the event overall. This includes information about the event dates, location, physical layout, purchasable items and sessions/workshops. Events may be entirely physical (onsite only), virtual or hybrid, which have a mixture of both online activity and physical attendance at a venue.

2. Visitor Registrations

Registration data for Visitors. Visitor data relates to individuals who may participate in the event, and as such translate to a person with a unique ID and an associated QR code to be used on an identifying badge. Visitors may register themselves through online forms hosted in Visit or may be imported from an external file or through the API. When importing Visitors, it’s possible to add them in one of two registration states:

  • registered – the individual is fully registered and can take part in the event. A QR code is available for use on their event badge.
  • invited – the individual has been added with a limited set of information, however they need to complete the registration process themselves. This may typically involve them verifying their contact details and/or providing additional information prior to becoming fully registered.

Visitors may optionally be linked to a partner. When linked to a partner, the visitor is one of:

  • exhibiting staff – they form part of the exhibitor’s team at the event. They have access to the Visit Connect online platform, which optionally supports lead scanning, meeting scheduling and additional tools to form connections with visitors at all kinds of event.
  • invited guest – they have been invited to the event by the partner so have an association with them (in data terms). However they are not part of the partner’s exhibiting team, so are considered to be a regular visitor. As such, they have access to the Visit Discover online platform which provides visitor tools for use at all kinds of event.

Registered visitors have a visitor registration type property, which is used to define their category. Possible types may include visitor, VIP or student, however organizers are also free to define their own.

3. Partner Registrations

A partner is Visit’s terminology for an exhibiting company. Partners have an associated lead contact, who is responsible for configuring their company’s presence at the event. This includes registering exhibiting staff, and managing their presence in Visit’s online platforms (Visit Connect for Exhibitors and Visit Discover for Visitors). A partner has exactly one related lead contact.

Important – a Partner and their associated contact are not considered as a registration to be participating in the event, and as such do not have an associated visitor record and identifying QR code. A partner lead contact wishing to participate in the event will need to register themselves as part of the exhibiting team, thus generating a Visitor registration (linked to the partner as described above)

Partners have a partner registration type property, which is used to define their category. For example an event may have ‘platinum exhibitors’ and ‘bronze exhibitors’. The types are definable by the event organizer.

Note that visitor and partner registration types are separate entities, though it’s not unusual to see them with similar labels. For example a Partner registration may be classified as ‘Exhibitor’ , and the associated staff records for that partner may have a visitor registration type ‘Exhibitor’.
